Effective 9 October 2026 · Version 2.2. This notice describes what borelogix.com collects and how BoreLogix handles information. Data a water district puts into the Waterwell IQ™ platform is governed by that district’s written agreement, which takes precedence over this page. Earlier versions are available on request.
Who we are
BoreLogix is the publisher of this website and of Waterwell IQ™, a water well lifecycle records and analysis platform. For information you send through this website, BoreLogix decides why and how it is handled. For information inside a district’s Waterwell IQ workspace, the district decides, and BoreLogix handles it on the district’s instructions under the agreement between us.
What this website collects
When you contact us. The walkthrough and inquiry forms collect your name, organization, work email address, the number of production wells you tell us about, and anything you write in the message. That is stored on this website and emailed to us. No third-party form service receives it.
When you join the field notes. The sign-up form collects your name, email address and organization, and, if you choose to give them, your title and phone number. We also record which page you signed up from, when, the words you agreed to, and a one-way scrambled form of your internet address that is used only to stop automated sign-ups. That record is kept on this website. Your name, email address, organization, title and phone number are also held by MailerLite, which sends the field notes. Every email has a one-click unsubscribe. We use a phone number only to call you if you ask us to, and we never send text messages.
When you use the site assistant. The assistant answers questions about the platform. Your question, the reply, and which page you asked from are stored so we can see what the assistant could not answer and improve it. Do not put passwords, credentials, or confidential district information into it. If you ask to be handed to a person, the contact details you give at that point are stored with the conversation.
When you simply read. Our host records ordinary web server logs — IP address, page requested, time, browser string — for security and troubleshooting. The site sets cookies needed to run WordPress and to keep your session; our hosting provider also sets cookies of its own. We do not run advertising cookies, and we do not run third-party analytics or tracking scripts. Typefaces are served from our own servers, so reading this site does not make a request to a font service.
What we do with it
- Reply to you, and keep a record of the conversation so we do not ask you the same questions twice.
- Send the field notes, and occasional news about Waterwell IQ, to people who asked for them.
- Run, secure and improve the website and the platform.
- Meet our own legal and accounting obligations.
We do not sell personal information. We do not share it for cross-context behavioral advertising. We do not use anything you send us, or anything in a district’s workspace, to train machine learning models.
Customer data in the platform
A district’s well records, documents, test results and account information belong to the district. BoreLogix holds them to perform the service and for no other purpose. They are exportable in full, in documented open formats, at no charge and without conditions — by the district itself, from inside the application, without asking us and without telling us. The archive holds every table as CSV, the stored documents, and the audit log. Each district’s data is isolated from every other district’s at the database level.
Documents you upload are read by an AI model. This matters and we would rather you heard it here than found it later. When a driller’s log, pump test, as-built or rehabilitation report is ingested, the page images are sent to Anthropic’s API so the model can propose values for the record. Anthropic processes that content to return the result and does not use it to train models. Nothing the model proposes reaches a well record until a person at the district reviews and confirms it. If a district needs document reading to stay inside its own boundary, tell us before onboarding and we will discuss what is possible.
Ask IQ, the question box inside the platform, uses the same provider. When someone at a district asks it a question, the question and the parts of the district’s record needed to answer it — read with that person’s own access, never more — are sent to Anthropic’s API to compose the answer, on the same terms: processed to return the result and not used to train models. Ask IQ cannot change the record. Each question and its answer are kept in the district’s record so the district can audit them; the person who asked, the people the district gives audit access, and BoreLogix in supporting the service can read them, and they cannot be edited from the platform. Questions asked in the public demonstration are not stored.
Who else touches the data
We use a small number of service providers. Each is bound to handle data only on our instructions.
| Provider | What it does | What it receives |
|---|---|---|
| GoDaddy | Website hosting | Web server logs; website inquiry submissions |
| Cloudflare | Serves the application; carries and protects traffic to the website and the application (DNS, network, caching) | Connection data such as IP address, browser and the pages requested; website traffic, including inquiry submissions, in transit |
| Supabase | Database, file storage, sign-in, server functions (United States) | Platform accounts, well records and uploaded documents |
| Anthropic | Reads uploaded documents; answers Ask IQ and site assistant questions | Page images of documents submitted for extraction; Ask IQ questions and the parts of the district’s record read to answer them; site assistant conversations |
| Our mail provider | Delivers sign-in and notification email | Email addresses and message contents |
| MailerLite | Sends the field notes email | Name, email address, organization, title and phone number of people who join the list, and whether they open or click our emails |
This list is current as of the effective date above and is maintained. A district may ask for the list, the contracts behind it, and advance notice of changes as a term of its agreement.
How long we keep it
Website inquiries are kept while there is a live commercial conversation and for a reasonable period afterwards. Ask us to delete yours and we will. Field notes sign-ups are kept while you are subscribed. If you unsubscribe, MailerLite keeps your address on its do-not-send list so you are never emailed again; ask us and we will also delete the sign-up record held on this website. Assistant conversations are kept while we are still learning from them and are removed on the same request.
Platform data is kept for as long as the district’s agreement runs, and afterwards for the period that agreement specifies, so the district has time to export. A well record is evidence about public infrastructure and is often subject to retention rules the district must meet; we do not delete it on our own initiative. Where a district places a legal hold, deletion is suspended until the hold is lifted.
How it is protected
Traffic is encrypted in transit. Platform data is held in a managed database with row-level isolation between districts, and stored documents are held in a private bucket that is not publicly readable. Access is by role, and what each role may do is described on the Trust and security page — including which controls are in place today and which are planned, so you can tell the difference. No system is immune from every failure; if something goes wrong that affects your information, we will tell you and tell you what we are doing about it.
Your choices
You may ask us what we hold about you, ask for a copy, ask us to correct it, or ask us to delete it. California residents have these rights under the California Consumer Privacy Act, including the right not to be treated differently for exercising them. Write to [email protected] and we will answer within the time the law allows. We may need to confirm who you are before acting.
If you are asking about records inside a district’s Waterwell IQ workspace, the district is the right first contact — those records are theirs, and we will refer your request to them and support their response.
Children
This is a service for water utilities and the professionals who work with them. It is not directed at children, and we do not knowingly collect information from anyone under 18.
Changes
When this notice changes we update the effective date and version at the top. If a change materially affects how we handle information already collected, we will say so rather than leave you to notice.
